Add Organization-Owned Email and Files to Your Parent Group

A new PTO or PTG should set up organization-owned email and file storage after its legal identity, nonprofit status, bank account, domain, and basic website are in place.
This is the right point in the launch sequence because Google will review both the nonprofit and the domain. It is also early enough to keep the group’s first important conversations and records out of personal accounts.
Why this belongs in the launch sequence
Google Workspace helps a new parent group establish three things from the beginning:
- A professional identity: Domain-based addresses look like they belong to an organization when you contact sponsors, donors, banks, vendors, and community partners.
- Continuity: Important email history can pass from one president, treasurer, or committee chair to the next.
- Control: Current administrators can reset passwords, update access, and remove former volunteers without depending on one person’s private account.
Shared Drives also give bylaws, minutes, financial records, event plans, and sponsor materials an organization-owned home.
Complete these prerequisites first
Before starting, confirm that the group has:
- A current board and adopted bylaws.
- A clear legal identity and EIN.
- Eligible nonprofit status.
- An organization bank account.
- A domain controlled by current leaders.
- A functional public website on that domain.
